Data Loss Prevention

Whether accidental or malicious, paper copies of sensitive data could currently be an untraceable form of data leak for your business, and likewise the ability to send scanned data to destinations outside of the business may exist, undermining policies such as prevention of writing files to USB sticks.

Data leaks via printed or scanned documents shouldn’t be overlooked when putting in place a Data Loss Prevention policy and Fleet MPS has the answers in the form of hardening and software solutions.

Our print and scan solutions can be configured to capture all data in motion, whether print, scan or copy, utilising the latest AI and keyword identification we can automatically block potential leaks in their tracks and alert an administrator. Furthermore, all captured data can be automatically exported to DMS systems for archiving purposes.

Restrictions over where scans can be delivered too, such as only allowing users scan to their own business email address, ensure that no document can bypass your existing DLP policies, and digital signatures provide an audit trail to those documents.

For the most determined intruders trying to capture data by any means possible, encryption in transit should make life pretty tough, as will system verification at startup preventing malicious code from being run on the printers, and those dedicated enough to think they can steal the SSD from a printer to recover data should think again as DoD sanitisation on completion of those encrypted jobs will very much stand in their way!

Finally, in the event that the worst should happen, watermarking, digital signatures and reporting can be used to add traceability to documents in the event that a leak was able to occur.
